Email Not Working? Here’s What’s Usually Going On

email not working

You don't think much about email...until it stops working.

You’re waiting on something important, and it never shows up. Messages won’t send. Or your inbox isn’t syncing across your devices.

When your email isn’t working, it’s usually a small issue behind the scenes that starts affecting everything.

Here are the most common email problems we see, along with a few things to check along the way. We also included a full troubleshooting checklist near the end of the post to help you get your email working again.

1. Not Receiving Emails

This is the most common issue, and usually the most frustrating.

A few things could be happening:

  • Your mailbox is full and new messages can’t come in
  • Emails are getting filtered into spam or junk
  • There’s a syncing issue between your device and the server

If emails seem to have stopped completely, storage limits are often the culprit. Emptying trash, spam, or old folders can help free up space if your inbox is full. If it’s just certain messages or senders, spam filtering is more likely.

Start by checking your spam folder and mailbox storage, especially if messages seem to have stopped completely.

It’s also worth checking whether others are having trouble reaching you. Sometimes the issue isn’t on your end at all, it’s how incoming mail is being handled before it even hits your inbox.

2. Can’t Send Emails

If emails won’t go out, it’s usually tied to how your account is set up or authenticated. Common causes include:

  • Incorrect outgoing server settings
  • Authentication issues with your email account
  • Attachments that exceed size limits

Sometimes you’ll see an error message. Other times, emails just sit in your outbox and go nowhere. If something bounces back, double-check the recipient’s email address first. If that looks right, the message may have triggered a filter or your IP may have been flagged for spam.

This is especially common with large attachments or business email accounts that have stricter security settings in place.

3. Emails Not Syncing Across Devices

You read something on your phone, but it still shows unread on your computer. Or new emails show up on one device but not another. This usually comes down to:

  • Account setup differences across devices
  • Sync settings not enabled properly
  • Conflicts between apps and servers

When email isn’t syncing correctly, it creates confusion fast. You’re never quite sure what you’ve seen, what you’ve replied to, or what you might be missing.

On a phone, it may be as simple as checking whether sync is turned on or whether the app is set to refresh often enough. In some cases, removing the email account and adding it back can reset things, but make sure you know your login information before doing that.

4. Emails Going to Spam (or Landing There)

This one goes both ways:

  • Emails you need are going to spam
  • Emails you send are ending up in someone else’s spam folder

Common causes include:

  • Overactive spam filters
  • Missing or misconfigured email authentication
  • Suspicious links or attachments triggering filters
  • Your IP being flagged for spam

Start by checking whether the issue is happening with one sender or several. If it’s widespread, there may be a larger filtering or reputation issue.

For businesses, this can quickly turn into a bigger problem. If clients aren’t seeing your emails, you may not even realize there’s a problem until it starts affecting communication or response times.

5. Inbox Not Updating or Emails Delayed

Sometimes everything looks fine on the surface, but it’s not.

  • Your inbox won’t refresh
  • Emails show up hours late
  • Messages get stuck in your outbox

This is often caused by connectivity issues, background sync problems, or just a glitchy app that isn’t behaving the way it should.

Start by refreshing the app, checking your connection, and seeing whether the same delay happens on another device.

6. Attachments Not Sending or Opening

Attachments are one of the most common trouble spots.

  • Files are too large to send
  • Certain file types are blocked for security reasons
  • Downloads fail or won’t open properly

Start by checking the file size and file type. Some systems block large files or certain attachments for security reasons.

If attachments are part of your daily workflow, this can become more than just an inconvenience. It can slow down projects, delay communication, and create unnecessary back-and-forth.

7. Login or Password Issues

If you’re getting locked out or constantly asked to log in, it’s usually due to:

  • Incorrect or outdated passwords
  • Security settings or account locks
  • Devices not updating saved credentials
  • Two-factor authentication needing approval

Start by re-entering your password carefully and approving any two-factor authentication prompts that come through.

Repeated login issues can also be an early sign that something needs attention from a security standpoint.

Quick Things You Can Try First

Before you stress, run through these easy checks:

  • Check your internet connection
  • Switch from Wi-Fi to cellular data to see if that changes anything
  • Restart your email app, phone, or computer
  • Check your spam or junk folder
  • Make sure your mailbox isn’t full
  • Re-enter your password if you recently changed it
  • Log out and back in
  • Send yourself a test email

A quick reset or small adjustment may be all it takes to get things moving again.

When It’s More Than a Quick Fix

If the same issue keeps coming back or affects more than one person, there could be a bigger reason behind it. We’re happy to take a look and let you know what’s actually going on.
